Happy Brain Academy

The brief

Happy Brain Academy already taught VCE with a clear method. What it did not have was a single place to run the work around that teaching.

Classes, tutoring, booking, events, files, and ordinary questions lived in different tools. Families left the academy site to book a consultation. Staff followed up from inboxes and calendars that did not agree with one another. The website advertised the academy, but it did not operate it.

What we built

Webifex rebuilt the academy site as the place those jobs start and finish. Consultation, class and tutoring enrolment, events, guides, help, and articles now sit on one site. Confirmations and calendar holds are sent from that centre.

How families use it

Families used to leave the site to book a call. They now choose a Year 7-10 consultation (15 minutes) or a VCE consultation (20 minutes) on the academy site, pick a time, and receive confirmation with a calendar hold. They can change or cancel without writing to the office, and the team is notified on the same path.

Interest in a VCE class or a tutoring package used to stop at a form or a message. Subject pages and packages now lead to a cart and a confirmation on the same site. Webinars, guides, and the help centre sit next to that path, so a family can read and then act without leaving.

How the team runs it

Staff publish articles and guides, and handle the operational work, from a signed-in workspace tied to the site. Families never see that workspace. They only see the site stay current.

Result

Happy Brain Academy no longer runs this work as a pile of separate tools. The website is the centre of operations: families stay on one site, and the team has one place to run the work. Teaching time is less often spent chasing forms.
